Before you start plugging times into a spreadsheet, take a step back.

Ask yourself:

  • Do I want quiet time with just my partner?

  • Do I want family photos to be short and sweet—or a big part of the day?

Some couples scatter their portraits throughout the day so they can spend the most time with their friends and family. Others choose to sneak away together for a few minutes to breathe and enjoy a quiet moment.

Whatever fills your heart—make room for that in your timeline.

Confirm Hair & Makeup Timelines

Your wedding day schedule can also live or die by how accurate your hair and makeup timing is. Always check in with your hair and makeup team ahead of time to confirm exactly how long they’ll take—and then ask for their maximum time estimate, not just the best-case scenario. I’ve seen timelines fall apart when this step is skipped. At one wedding I photographed, hair and makeup ran over an hour late, and it created a ripple effect that was hard to recover from.

Do your homework: read reviews, talk to past clients, and make sure you fully trust the vendors involved. Communicate Your Schedule Ahead of Time

One of the simplest ways to keep your wedding day running smoothly is to let the key people know your schedule well in advance. If you’re doing family portraits, make sure everyone who’s included knows exactly when and where they’ll be happening.

As a Calgary wedding photographer, I usually recommend scheduling these right after the ceremony—when you already have everyone gathered in one place, and no one has wandered off to the chocolate fountain just yet. Send a quick email or group text to your family a week before the wedding, and have your officiant or MC give a friendly reminder before the ceremony begins. This small step can save a surprising amount of time and stress.

My Biggest Advice: Build in Wiggle Room

No matter which schedule you choose, leave extra space. Life happens and it is what makes your day uniquely yours.

At one wedding I photographed, the bride’s buttons started popping off as she was getting dressed, and her bridesmaid had to sew them back on. At another, a bridesmaid went into contractions during the morning prep! Because we had built in cushion time, both weddings stayed calm and joyful, instead of rushed and stressful.

If it usually takes you 15 minutes to drive somewhere at that time of day, leave 30 minutes on both sides. That way if you find yourself in traffic, you can still breathe easy. Leave extra time if there is only one road to the location. 

The more space you leave, the more relaxed and in the moment you can be on your amazing day.

First Look or No First Look?

A first look—seeing each other before the ceremony—can:

  • Give you more time for portraits before guests arrive

  • Reduce the rush between ceremony and reception

  • Create a private, emotional moment just for the two of you

1:15 – 2:15 | Getting Ready

  • Capture the final touches of hair and makeup, getting dressed, and candid moments with your people.

2:30 – 2:45 | First Look

  • At a scenic Calgary location like The Ridge, Riverdale Ave, or a favourite park.

  • Remember to leave more cushion for driving if the location is further away.

2:45 – 3:30 | Just You Two

3:30 – 4:15 | Couple & Wedding Party Portraits

  •  Have them meet you at your location.

4:15 – 4:45 | Guest Arrival & Ceremony Prep

4:45 – 5:15 | Ceremony

5:30 – 5:50 | Family Photos (As please gather for family photos, take 5 minutes for just the two of you away from everyone)

  • Have a printed list and appoint a “photo wrangler” who knows both families.

5:30 – 6:00 | Entrance, First Dances, First Speech

Adapting for No First Look

If you’re skipping the first look, move your couple and wedding party portraits to after the ceremony.

  • Plan 1.5–2 hours for photos.

  • Extend cocktail hour so guests are entertained.
